We are currently looking for an Administrative Assistant for our Seattle, WA location. This position is responsible for managing the administrative tasks of the front desk. This position will perform a wide range of duties to support the Commercial Manager in managing PNW’s operations. The core hours for this position are MF, 7:30 am to 4:30 pm with some additional hours in the evenings, weekends and on call as needed.
Essential job duties
Ensure phones are answered and routed quickly
Approve office supply orders and ensure office supply inventory was tracked
Maintain tracking of incoming and outgoing shipments to include communications with sender/receiver
Provide administrative support to PNW business and operations managers
Maintain the PNW ERC on-call list and distribute it weekly; maintain and distribute telephone lists
Assist in entering a new supplier into Spectrum
Maintain office equipment and ensure it is ready for use
Maintain a list of vendors to troubleshoot installation issues
Serve as the primary point of contact for calls from the alarm company and certain vendors during and after normal business hours
Maintain credit card receipts and reconciliation of credit card charges in a timely manner
Arrange travel (plane, car, hotel reservations, etc.) for crew, administrative staff and company personnel
Track and assign security keys and codes for employees
Coordinate office moves, securing office furniture and office layouts
Support the Project Coordinator with event planning as needed
Ensure conference rooms are clean and fridge stocked/cleaned
Work on special projects as needed and other assigned tasks
Associate’s degree in Business Administration or related field preferred
2 years of work experience in an office preferred
Previous experience in organizing travel preferred
Proactive approach to problem solving

Advanced organizational and time management skills
Microsoft Suite skills (Outlook, Word, Excel and PowerPoint)
Great attention to detail
Strong follow through skills to completion

Perform work in an office and warehouse
Perform after-hours and weekend work as needed
Ability to lift up to 35 lbs.
